How walkthroughs are counted
One walkthrough = one site video that you upload and turn into a quote. The AI work behind it (video transcription, scope-of-work generation, branded PDF) is included in your monthly fee up to your plan's quota.
On Pro and Crew, walkthroughs over the included quota bill at a flat per-walkthrough rate — $3 on Pro, $2 on Crew. The Plan & billing page in your account shows every walkthrough you've run this cycle.
No surprise bills. If you hit your quota on the Free tier, the next walkthrough is blocked until you upgrade or the month resets — we don't auto-charge you. On paid tiers, overages roll into the same monthly invoice.
FAQ
Do I need a credit card to start?
No. The Free tier is genuinely free — sign up with your email, no card on file. You'll add a payment method when you upgrade to Pro or Crew.
What counts as a walkthrough?
A walkthrough is one job-site visit. You can upload multiple video clips into the same walkthrough — phone rang mid-record, kid interrupted, "let me also walk you through the basement" — and tap Done — process this when you're finished. PencilOut treats all your clips as one continuous walkthrough and produces one unified scope + transcript. That's one walkthrough against your quota, not one per clip. Branded PDF generation is included.
What happens if I run out of included walkthroughs?
On Free, the next walkthrough is blocked until your billing cycle resets or you upgrade. (Free cycles are 30 days from when you signed up.) On Pro and Crew, additional walkthroughs charge at a flat per-walkthrough rate ($3 on Pro, $2 on Crew) and roll into your next monthly invoice.
Can I cancel?
Anytime, from your Settings page. Cancellation takes effect at the end of the current billing cycle. Any overages incurred up to that point are billed normally on your final invoice.
Can I switch plans mid-month?
Yes. Upgrades take effect immediately and prorate the difference on your next invoice. Downgrades take effect at the end of the current cycle so you keep what you're paying for.
Do you keep my walkthrough videos?
Yes — we store them so you can re-process or reference them later. We don't share them with third parties (except the AI providers we use for transcription and quote generation, neither of which uses API content for training). When you delete a walkthrough, the file is removed within 30 days. See our Privacy Policy.
Is my customers' data shared?
No. Client names, addresses, and quote details are visible only to your organization's users + the specific client receiving a quote (via the share link). We don't sell or share customer data.
What about really high-volume shops?
Crew handles up to 100 walkthroughs/month included with a low overage rate. If you're consistently doing 250+ a month, email us — we'll set up an annual plan with custom included quota.
